Case Study

Mallands Residential Care Home in Devon saves 75% time on documentation and has achieved CQC Outstanding using Person Centred Software's electronic monitoring system

In 2015, Mallands Residential Care Home implemented Person Centred Software’s electronic monitoring system, Mobile Care Monitoring.

We spoke to Roz Wills, Registered Manager at the 38-bed family-run care home in Devon about how electronic monitoring system has transformed care quality.

75% time saved on documentation

Roz has over 25 years’ experience of providing residential care for the elderly. “I have complete trust in the system,” she says.

“Since using Mobile Care Monitoring, I have confidence in the care that my team deliver to our residents. I know that if I unless I am alerted by the electronic monitoring system, the staff team don’t miss any care. And if I do receive an alert or red flat, I can immediately chase staff.”

Roz explains, “Before, Mallands kept its paper records in folders, which often became disorganised. Trying to go back through all the paperwork for safeguarding enquiries was difficult.”

“Staff save 75% of the time they used to spend writing handover notes on paper.”

Handovers were also time-consuming while using paper records. “Staff spent six hours a day writing handover notes; two carers wrote up handover notes for every shift, taking both people an hour each time,” says Roz.

“Now using our electronic monitoring system, staff find updating records much quicker. Staff save 75% of the time they used to spend writing handover notes on paper.

“Records are now much more detailed and easier to locate whenever anyone needs to access them.” she explains.

“Staff took to the system quickly as it’s so easy-to-use and intuitive.”

“Charts and reports automatically populate as staff evidence care so all records are up to date. It’s easier to know when reviews are due because of automatic alerts in the system. Everything links together!” Most importantly, staff spend more time with residents rather than maintaining paper records.

Electronic monitoring system implementation

“We implemented the system step-by-step,” explains Roz. “We began with training care staff to use the Care App on handheld devices to evidence care. Then we followed with training in Care Planning and Reporting.”

“Staff took to the system quickly as it’s so easy-to-use and intuative. They started using the Care App straight after on-site training from Person Centred Software. It quickly became second nature,” she continues.

“Records answer external professionals’ questions quickly and easily.”

Mobile Care Monitoring has made it easier for Mallands to make information available to external professionals.

Roz says, “District Nurses, GPs, mental health teams and other outside professionals love the system. There is consistency across all residents’ records.

“Records answer external professionals’ questions quickly and easily. For example, they can see real-time fluid input and output charts immediately.”

Electronic monitoring system leads to CQC Outstanding

The benefits of the electronic monitoring system to residents’ quality of care is clear to inspection bodies. In 2018, CQC rated Mallands Outstanding.

“Staff have clear and up to date information showing how they should support people to manage the risks while ensuring they had as much control and independence as possible.”

The report mentions Mobile Care Monitoring: “Any new information is shared in handover and put straight into the care plans. Everything is recorded as the day goes on. This means staff have clear and up to date information showing how they should support people to manage the risks while ensuring they had as much control and independence as possible.”

Roz advocates the electronic monitoring system in her local area. Many regional professionals and care home managers are familiar with the system.

Roz remains as enthusiastic as the day Mallands installed Mobile Care Monitoring. Person Centred Software adds new features to enhance the system regularly. The system continues to enable Roz and her team to provide outstanding care to residents.
