Augustinian Care's three care homes in East Sussex use Mobile Care Monitoring to develop its care teams and keep in touch with families during lockdown.

Mobile Care Monitoring helps Augustinian Care to develop its care team. Adrian Muir, Training Manager, says, “As staff use the app to document care, we can see what’s documented by whom in each of our three care homes.
“We can see shortfalls and areas for improvement, right down to clinical skills, which helps us to highlight and provide training.”
“Using our previous system, due to a language barrier, staff from overseas were anxious about completing documentation. They avoided going on to the computer to document care. This meant that other staff did their documentation for them.

Mobile Care Monitoring is a digital care planning system from Person Centred Software, designed to be quick and easy-to-use for care staff, to save time on documentation and spend more time with residents.
Adrian continues, “Information is quick and useable on the system. It’s great for new staff and bank staff as they can read resident profiles and care plans before administrating care. This is essential to providing a good quality of care.
“Now, everyone involved in care is able to use the Mobile Care Monitoring system for documentation.”
“Using paper, or the previous system we used, new members of staff would take verbal advice from others in the care team. Now they can see a full overview and know themselves how to care for residents.
Augustinian Care is a group of three care homes in Sussex. The first home implemented Person Centred Software’s system in December 2019, and the remaining two homes in January and February 2020.
“Using our previous system, we had an issue where some staff members had three or more different accounts, so they could log in to use the system in each home. Using Mobile Care Monitoring, we can allocate one person’s account to see the different homes we work in. This means we can move bank staff around easily between the three care homes.”
As part of Adrian’s role, he arranges and facilitates training for the organisation, monitors overall care practices, including documentation, particularly with staff undertaking apprenticeships.
“Our previous system was archaic and slow. CQC weren’t happy as the information we put in didn’t finish off the loop; evidence of care didn’t feed into care plans or drive analysis. Mobile Care Monitoring completes the loop of care.
“We have found Person Centred Software’s support team to be extremely helpful while we’ve got started with the system.”
“Completing this loop gives us visibility and oversight, and the ability to improve our care team’s practices. On paper, things disappear or get archived. But now we can access an overview of care at any time.
“As part of my role, I used to have to ask managers to send data reports to monitor care plans. Now I can clearly look at all care plans and it’s fantastic to have oversight without having to read the care plan to find out what is audited and what is not.”
“Person Centred Software assisted us in transferring our data over as we were moving from using another digital care planning system, rather than moving from paper documentation.
“All care information was fully transferred between the two systems within four to six weeks in each care home.
“I spent time with our care home managers to make sure things were set up accordingly. Our deputy managers oversaw the transfer of information between the systems.
“We used to use Caresys for all our care documentation, but now we just use it for finance and HR. It was archaic and slow for our care team.”
Adrian describes the implementation process of Mobile Care Monitoring: “I organised the dates with Person Centred Software’s training team and sent these to the home managers who allocated staff to the right training dates.
“We had the necessary training to use the system effectively. Nurses and senior staff had a long, structured training day and carers had shorter training sessions.
“Carers were encouraged to use the handheld devices straight after training to put the knowledge to use and practice during our transition phase between the two systems.
“As the training manager, I sat in on the on-site training sessions delivered by Person Centred Software’s training team. I also received an additional hour-long training session for administrative staff to learn how to add new residents and staff to the system.
“It was fantastic to have an introduction to the handheld devices and Care App. We are keen to take up Person Centred Software’s free interactive training webinars to continue to train new staff, bank staff and anyone that would like refresher training.”
“Our staff found it easy to get used to Mobile Care Monitoring and it took a lot less time than adapting to the previous system they used.
“Feedback from staff has been very good. We have found Person Centred Software’s support team to be extremely helpful while we’ve got started with the system.
“Implementing Mobile Care Monitoring is a learning curve, but it’s very straightforward and clear to use once you do. I think you must use it to get used to it.”
“We use the Relatives Gateway part of the system in all three care homes. Our activities staff and managers set it up and it’s been extremely useful to keep in touch during the Covid-19 lockdown. Relatives send photos through to keep in touch with their loved ones.
“We’ve used the Covid-19 risk assessments provided in Mobile Care Monitoring within our care homes. We had a large amount of staff who were not working and came back when they were tested, so it’s been useful to put this information into the system.”
