Before we originally trialled the digital care planning system, mCare, back in 2017, we were still using paper-based care plans, which are a nightmare! We found that it was quite difficult to maintain complete oversight using paper-based care plans because apart from anything else, you had to physically be in the location to review the care plan; it was not possible to support care staff or check care plans or risk assessments from afar. This meant that valuable time was being taken up unnecessarily.
Using a paper-based system also affected the quality and quantity of care notes. In most cases, carers could only update the care notes two or three times a day due to the requirement of having to leave the residents to sit at a desk to document and evidence the care they had provided. After long and strenuous shifts, the carers would understandably forget certain details, and despite their best efforts, this resulted in incomplete care notes.
By making the switch to Person Centred Software’s digital care planning system in 2018, we have been able to capture much more information than when we were using a paper-based system. The number of daily care notes that are recorded in the system compared to what we used to have, where it might be two or three entries a day, is phenomenal. Now with mCare we can do so much more than what was previously possible by leveraging features of the system like the Care Delivery App, which our staff use to evidence the care provided to residents in real-time during their shift. The great thing about this is the icon-driven interface, which has a Speech to Text function and pre-populated care notes that can be selected for each resident, who all have profiles on the system. Using these features on the portable handset that our staff can carry around with them, they can drastically reduce the time it takes to compile accurate care notes by logging them as and when they need to.

As a health and safety officer, having access to any information I need at the press of a button has made things so much easier, not just for me but for Orchard Care Homes generally. With mCare, if I need a piece of information from one home and I am at another home doing something completely different, I have all the information I need right there in the system. This helps to provide support or advice if, for example, a resident has any complex needs.
If I want to check a particular resident’s care plan, all I need to do is type their name into the search bar and records of their care will be available. That level of insight and visibility combined with ease-of-use and efficiency when compared to a paper-based system, where you would need to go to a particular home and physically find the documents, is just not possible.
Now we have all the information we need readily available thanks to GP Connect; this has freed up valuable time that would otherwise have been spent having to ring surgeries, wait on phone lines to get through and speak to someone at the GP’s office to try and find the information you need. It doesn’t take long for the time spent doing this to add up! The amount of time that we have gotten back from not having to chase down GP records means our staff can spend longer with residents, making sure that they provide the best person-centred care possible.
Another way we have been able do this is by using Painchek. Painchek harnesses the latest AI technology to use facial recognition software to capture the slightest indicators in a resident’s expression to judge whether they are in pain and to automate that process of pain assessment at the point of care, even if they look fine to the naked eye and even if they don’t complain of being in pain. It means we can provide a level of support for residents that just wouldn’t have been possible before.
We have found that Painchek integrates seamlessly into mCare – all you need to do is pull up the care notes, which takes less than a second, and evidence of the use of Painchek will be there.
Since implementing PainChek, Orchard Care home has achieved a 91% drop in significant injuries at its services.
The care home operator has also achieved a 20% reduction in falls over the last 12 months since adding PainChek to its falls prevention policy and post-falls protocol.
Overall, to say that implementing Person Centred Software’s digital care planning system has helped to streamline and positively impact the way our staff provide care for residents would be an understatement. It is a far better system than the one we used before, and we certainly don’t have any complaints!
